Another possibility is to use the 588 field, which is made for exactly this sort of information. https://www.loc.gov/marc/bibliographic/bd588.html. It is most frequently used on serial records but is by no means limited to serials (e.g. it’s required on provider neutral records for monographs). I use it with some frequency with monograph records (e.g. notes such as “Description based on 1959 printing.” when I have reason to suspect that the first printing that I don’t have access to might have had a different presentation of the publication information). I see no reason why “Description based on imperfect copy …” shouldn’t be recorded in 588; if a subsequent cataloger comes along with a perfect copy, they simply remove the 588 when updating the record because now the description is based on a perfect copy.

Interesting issue. Allow me to take issue 🙂 with Michelle's suggestion to add $5 to the end of your 500 note. When an imperfect copy is used as the basis for a description because there is no reliable information about a perfect copy, a note on the basis of the description is a general note, not a copy-specific or local note.

No matter that the description is based on a particular institution's copy—it is the exemplar of that edition/issue upon which the description is based, and therefore applies to the entire description, not an institution's deviation from it.

As a practical matter, many institutions automatically delete fields with a $5 for a different institution. (An entirely prudent measure in my opinion.) Adding a $5 to a general note may result in the loss of significant information.

500  ##  $a Description based on damaged copy. Leaves with numbered pages may have been missing from the end of the volume.

There is RDA 3.4.5.6<https://protect-us.mimecast.com/s/a1SHCyPALzHxRPNfZpjvS?domain=3.4.5.6> Incomplete Volume, which says to do the following if the manifestation in hand is incomplete: xxiv, 179 pages (incomplete)

That doesn’t exactly cover the situation where you’re not sure whether it’s incomplete or not, but I think you could handle that in a 500 note in conjunction with adding (incomplete) to the 300.

Hello all,

(I wasn’t sure if I should post this here or AUTOCAT. This is a modern book; we are not treating it as “rare” or using DCRM(b) to catalog it. But it is a unique copy and my question is similar to others that often come up with rare materials. Let me know if you’d prefer that I post it on AUTOCAT instead.)

We’re creating an original record for a cookbook. The copy is a spiral-bound volume with considerable damage. The back cover is missing and several of the leaves at the end are partly torn from the spiral binding.

The last leaf in this copy has a verso with page number 248 and is a section for the reader to add handwritten notes. It’s not clear if this is actually the last leave of the original publication or if other leaves with numbered pages are missing from the copy in hand.

Does anyone have any recommendations regarding how to handle the 300 $a and 5XX fields to show that the cataloger was unsure if they had a complete copy in hand?

The book was published in 1986, and the publisher no longer exists; otherwise, I would reach out to them.

Any suggestions would be greatly appreciated!
