To add a bit to Jennifer’s excellent distillation of Houghton Library practice, we do one other thing to note funding sources, this time in the Alma Bib record.
A local 911 field is populated with Harvard’s 33-digit funding code. This causes the publication on the HOLLIS Primo catalog page of a virtual bookplate. This happens for all purchases across the libraries, and happens when the invoice is paid (pulling from the electronic invoice lines). Since this is automatic, staff do not do anything.

Except (and there had to be one, right?) in the case of the occasional retrospective accession of a long-ago purchase for which there is no extant invoice record, In that case, at Houghton Library, acquisitions staff manually enter the field. This is a rare occurrence.

We have traditionally included the fund in a 541 $h in our holdings records with the 541 coded as private with a public 561 note indicating the fund and date, ex) Purchased in [date] with the [fund(s)]). This practice was revised in 2020 with the decision to code the 541 as a public note and discontinue the use of the 561 indicating the fund or 'Gift of' statement. Currently our format is: 541 1_ $c [Method of acquisition]; $a [Name of vendor or donor]; $d [date of acquisition]; $e [accession #]; $h [name of fund used if acquisition is a purchase]. The display in our catalog renders the 541 with the label "Source of acquisition" and reorders the subfield codes to alphabetical order (e.g., Source of acquisition: [Dealer]; Purchase; [Date]; [accession #]; [Fund], Source of acquisition: John Smith; Gift; [date]; [accession number].

It’s intriguing to consider the fund as a 7xx access point. While MARC relators and RBMS relationship designators have item-appropriate terms for donor and honoree, neither has a term corresponding to an acquisition funder (MARC’s funder is a work relationship). Perhaps we should propose one for the RBMS CV?

When you want fund information to display in the online catalog, what field do you use?
