[DCRM-L] MARC holdings question on call number type

Hi Deborah,

That is really helpful, thanks. It wasn’t clear to me that you could use $h and $j together, but if that is ok would be a great help. We are the other way round – most of our books show the accession number on the catalogue, but have a separate shelving scheme which is currently in a stand alone database. We are also in the process of migrating this to a collection management system (KE EMu). That project was supposed to be finished before we started on the bigger one, but of course it has run over and now trying to cope with both! It would be great to pull this over into the library catalogue too.

With all the response I think it might be possible to put something together now.
All the best, Julianne

Hi Julianne,

We have Voyager, another Ex Libris product, and have been using MARC holdings records since we first implemented in 1996. I would recommend going with

852 $h with first indicator 8 for ‘Other scheme’

with one exception. We've found it is important to use the correct indicator in order for shelfmark searches to work properly. I would encourage you to use '1' when it's a Dewey number, and '8' when it's a home-grown scheme.

For what it's worth, we use ‡j for our accession number. Here's a typical 852 for a book I just cataloged:

852 8_ ‡b DeckB-STC ‡h STC 18139 copy 2 ‡j 266712 ‡x DJL 201302 ‡z Additional material: 17 pages of manuscript texts (including 7 pages of English verse and 5 of Latin verse) and 4 pages of hand-colored prints (including two woodcuts by Crispijn van de Passe the Elder), appearing before and after the printed text, on the transitory nature of life. Some leaves, including the title page, have been daubed with now-tarnished lead white, some of which are a support to writing in gold ink. Autograph: Jeff. Gilbert. On last page of text: '1605.' In contemporary calf with gold tooling and device stamped on cover; rebacked with red leather spine label.

I hope you don’t mind if I try for some collective wisdom to solve a dilemma here. At the University of Manchester we will be implementing Ex Libris Alma in the summer. Our current system is Talis, which most of you won’t have heard of as UK based – it is pretty basic and there are a lot of decisions to be made on how we can successfully migrate our data. We will be using MARC holdings in Alma for the first time and I need to work out what to do with Special Collections call numbers. The library default is Dewey, but of course in Special Collections we have a variety of shelving schemes all currently lumped together in the Talis classification suffix field. Getting them out may not be easy!

My question is where to put them – I believe that there might be three options?

852 $h with no indicators
852 $h with first indicator 8 for ‘Other scheme’
852 $j with first indicator 4 for ‘Shelving control number’

Have I missed any?

Any advice would be very welcome.
Thanks, Julianne
