[DCRM-L] 541, 561, 562, 563 identical in MARC 21 bib and holdings formats

Dear Mrs. Moody,

In Utrecht University Library (Netherlands, European Union) we use 541, 561, 562 and 563 both in bib and holding formats.
Cataloging manuscripts we use those fields in bib formats:  those materials are unique and no other library has a copy of them.

Cataloging printed materials we use those fields in holding formats. More libraries might have copies of those books and that's why we don't record data associated with the copy (or item according to RDA) held by Utrecht University library in the bib format, where only data associated with the manifestation (or expression or work) should be recorded.
Data associated with a copy (or item in RDA) are e.g.: provenance (=former owner), binding notes, notes on damage or incompleteness.

We started cataloging in Worldcat earlier this year (March 2016). That caused quite a change. Before that date we recorded all data, either associated with manifestation or item, in the bib record of our local system.
Many of bibliographical records in Worldcat we are not allowed to replace (e.g. pcc, Full by Library of Congress). That is another reason to use holding records.

Former owners: in bib record, field 700 with relator term "former owner".

As fields 700 and 710 are not available in holding records we have chosen to use field 561 to record provenance.

Hi all,

I just noticed that the 541, 561, 562 and 563 are defined identically in the MARC 21 bib and holdings formats.  Does anyone know why they were defined in both places?

I would also be interested in hearing from anyone who knows why their institution chose to record these either in the bib or holdings, and if there are places where people do both (and why and when).
